Reports

The Reports area organizes engagement analysis in panels with reports: you create personalized reports (choosing event, period, segmentation and filters) or use ready-made templates, compare audiences, monitor employee engagement profiles and export everything in CSV.

Concepts and terms

Term (as it appears on screen)What does it mean

What can you do

  • Create dashboards and organize them with Global or Restricted sharing (by teams and users)
  • Add reports using a ready-made template or Create a custom report from scratch
  • In the personalized report: choose event, period, grouping, segmentation, up to 5 filters and chart style — with data table to choose which series appear
  • Monitor the Engagement Profile with the list of employees by track
  • Adjust ready-made reports (period and, in some, segmentation) with live preview
  • Export CSV of the report (custom, engagement or ready)
  • Rename, duplicate and delete panels; duplicate takes all reports
  • Understand each event/report using the help button ("Understand this event" / "Understand this report")

Step by step

Create a dashboard

  1. 1.In Reports, click New Dashboard, give the Panel Name and set the Sharing: Global ("Everyone in the organization can see and edit") or Restricted ("Only you and selected people or teams" — select Teams and/or Users; without selection, the dashboard is private, just yours).
  2. 2.The dashboard appears in the sidebar under My Dashboards. Through the menu (⋯) you can Edit (name and share - owner only), Duplicate (anyone with access; creates "Copy of..." with all reports) and Delete (owner only; "All reports will be permanently deleted").

Add a report

  1. 1.Within the dashboard, click Add report. The "Choose a template or create a custom report" dialog brings up:
  • Create custom report — opens blank editor
  • Engagement Profile — opens the editor already configured for this event
  • 8 ready-made reports that go directly into the dashboard: Average daily views, Average views segmented by, Reactions segmented by, Communiqués sent in the period, Clicks by TAGs, Average reactions, Best times and Views by device
  1. 1.The ready-made ones already appear as cards (standard period of 30 days); Custom ones open in the editor.

Create a personalized report

  1. 1.Give a name ("Report name" field) and, if desired, a description.
  2. 2.Choose the Event (required). Use "Understand this event" to see an explanation for each one.
  3. 3.Configure Period (default 30 days; Custom allows any range within the last year), Group (Hour/Day/Month — for line chart), Segment by, and Filters (Add filter, up to 5 — each becomes a "Property: value" chip).
  4. 4.Choose the style: Line, Bars or Metric.
  5. 5.The Data Table below the graph lists the segments with totals by period; use the selection boxes to choose what goes on the chart (up to 50 series; start with the first 12 and use See more).
  6. 6.Click Save — the report becomes a card on the panel. The card shows the preview with the 10 largest items ("Open the report to see all selected items").

Monitor the Engagement Profile

  1. 1.Create a report with the event Engagement Profile (segmentation, grouping and style do not apply to it; filters and period do).
  2. 2.The graph distributes employees by range (Promoters → Deactivated) and the Employees table lists name, email, cell phone and profile.
  3. 3.Export CSV downloads the complete list; with many records, the file is sent to your email ("The report has many records and will be sent to your email shortly").

Adjust a ready report

  1. 1.Open the card. The name and description are fixed (from the template); what you adjust is the Period (Today/Yesterday/Last 7 days/Last 30 days/Last 3 months/Custom) and, in the "…segmented by" and Views by device reports, the Segment (employee, Group and Tag fields; device number: Browser, Device, Operating System).
  2. 2.The preview updates live; click Save to persist. Export CSV is available in some types and requires saving first ("Save the report to download the CSV with the correct date range").
  3. 3."Understanding this report" explains each one (In one sentence / In practice / How to read the chart / When to use).

What can be analyzed/adjusted

Confirmed meaning of each event:

The 8 ready reports: Average daily views (daily effectiveness: sending vs views), Announcements sent in the period (current vs previous period), Average views segmented by (% opening per segment), Best times (opens by time of day), Reactions segmented by (positive/neutral/negative per segment), Average reactions (sentiment per day), Clicks by TAGs (engagement by topic) and Views by device (thread by device/OS/browser).

Calculation windows — why "similar" numbers don't match

Each event has its own calculation window, which is why different reports for the same period show different numbers. The two principles:

  • Sends, receipts and views are independent counts. "Communiqués viewed" counts the openings that happened in the period, whether from sendings from any time (an opening today could be from a communication sent months ago). "Communiqués sent" only counts messages sent during the period. Dividing one by the other doesn't give the period opening rate — the windows don't correspond.
  • Average performance pairs both ends in the same window: takes the sends for the period and counts, among these same sends, how many were viewed. The period rate is the aggregate ratio (views of these sends ÷ sends × 100). It is not the average of the daily percentages: the daily average gives the same weight to a day with 3 sends and a day with 30, and therefore comes out different (in general lower when there are many days of low volume) from the aggregate percentage.

Practical consequences:

  • The ready report Average daily views shows the rate for each day (submissions of the day vs openings of these submissions); Historically, its summary number is the average of active days, not the aggregate ratio — which is why it may differ from the average personalized performance over the same period.
  • Adding lines from a CSV of views and dividing by the lines of a CSV of submissions reproduces the window error: the reports were not designed to be cross-referenced.
  • For a period's open rate, the source is a single query of Average Performance in the custom report — never a combination of two reports.

What tends to confuse

  • Panel ≠ report: the panel is the folder; the numbers are on the reports (cards) inside it.
  • "Average performance" is a percentage (open rate), not a count — don't add it to other events.
  • Different report numbers should not be crossed to derive rates or averages — each has its own calculation window (see "Calculation Windows" above).
  • "Commented announcements" only counts comments with text — reactions without comments do not count.
  • Data is calculated on the fly, without automatic updating — use the update button on the panel or Refresh within the report.
  • Engagement profile is a "different" event: no segmentation, grouping or style choice; on the other hand, it provides a nominal list of employees by category.
  • Ready-made reports are not editable like customized ones: fixed name and event controls/filters disabled — only period (and segment in three of them). For complete freedom, use Create Custom Report.
  • Deleting a dashboard deletes all reports on it permanently.
  • CSV requires saving first — with unsaved changes, the button is blocked so as not to export a period different from what is on the screen.
  • There is no PDF export or sending scheduling in this area — recurring email reports are the role of Smart Reports (Agent area).
