Recipients and segmentation
How to choose who receives a communication: individual people, groups, filters by employee characteristics (area, branch, position, custom fields...) or lists imported via CSV — with a live count of how many people will be reached.
Concepts and terms
| Term (as it appears on screen) | What does it mean |
|---|---|
| Recipients | The people who will receive the announcement on a channel. The selection is made by channel (email, WhatsApp, Teams…). |
| Person (prefix `[P]`) | An individual contributor to the base. |
| Group (prefix `[G]`) | Fixed set of employees, created in the Employees area or by CSV import. Shows the number of members. |
| Filter (prefix `[F]`) | Dynamic segment: conditions on the employee's fields (e.g.: "Department equals Sales"). The result is calculated at the time of submission. |
| Manual filter | The filter builder, where you set up the conditions. |
| Account filters / Local filters | Filters saved and available for reuse across the account vs. filters created only in this editing session. |
| Condition / Restriction | A filter rule (column + comparator + value). Restrictions within the same group combine with E; different groups combine with OR. |
| Import (CSV) | Upload a spreadsheet of employees that becomes a group of recipients. |
| Direct mail | Special mode of the email channel: a CSV contains both the recipients and the values of the `[[_Coluna_]]` variables used in the content. |
| Selected | The summary of your selection, displayed in colored chips by source: Manual, Filter, Group, CSV, Mail Merge. |
What can you do
- Search and tag individual people by name or email
- Select entire groups (with member count) and saved filters
- Create filters with multiple AND/OR conditions on any employee field — including custom fields for your company, group, tag and behavioral data (browser, device, system, announcement)
- See in real time how many members the filter reaches and list the results (name, email, telephone)
- Save, rename and reuse filters (Save and Apply)
- Import a list via CSV (upload → identification → review) that becomes a group
- Use direct mail in email: CSV identifies employees and fills in content variables
- Copy recipient selection from one channel to another ("Use recipients from…")
- Review the audience in the submission summary, by channel, with the names of the filters/groups used
Step by step
Select saved people, groups and filters
- 1.In the announcement sending settings, on the channel card, click Recipients → Select.
- 2.Search by name or email (the list has people `[P]`, groups `[G]` with member count and saved filters `[F]`) and check what you want to combine — you can mix backgrounds.
- 3.The selection appears in colored chips at the top; the footer shows the total number of selected. Click Confirm to apply.
- 4.Clicking on a group or CSV chip shows the members; clicking on a filter chip reopens the constructor to edit it; clicking on the other chips filters the list by origin.
Assemble a filter (dynamic segment)
- 1.In the recipients panel, click Manual filter.
- 2.Set up the first condition: "Select all members where the column..." — choose the Column (employee fields, including custom fields, group, tag and behavior data), the Condition and the Value (search with autocomplete; free text comparators accept direct typing).
- 3.The available comparators depend on the column type: Equal to, Not equal to, Starts with, Ends with, Contains, Less than, Less than or equal, Greater than, Greater than or equal.
- 4.Add restriction adds an AND condition to the same group; Add Filter creates a new group in OR (expands the result set).
- 5.Follow "{N} members found" updating live and use View results to check the list (name, email, telephone, with search and pagination).
- 6.Click Save and Apply. Give it a name — the filter is available in Account Filters for future uploads (you can also rename it later).
Import a list via CSV
- 1.In the recipients panel, click Import (available after the communication has been saved).
- 2.Follow the 3 steps: file upload → conference → completion. The list becomes a group and automatically enters your selection.
Use direct mail (email)
- 1.Write content using `[[_Nome da coluna_]]` mail merge variables (own button in text bar; requires permission).
- 2.In the email sending settings, choose Mail Merge → Import CSV.
- 3.Follow the 4 steps: Import CSV (upload) → Identify Employees (which CSV column identifies the person on the platform) → Map Variables (associate the CSV columns with the communication variables) → Confirmation (summary with CSV lines, Found and Not found).
- 4.Confirm the import — the recipients become the employees found in the CSV, each with their own values.
Limits and rules
| Rule | Value |
|---|---|
| Recipient search | List up to 100 people, 50 groups and 50 filters per search — refine by text to find what doesn't appear |
| Comparators by type | Text: all; numbers and dates: equal/different/greater/smaller; booleans: same/different |
| Filter without condition fulfilled | Does not save ("Please fulfill at least one condition before saving") |
| Comparator incompatible with column type | Blocks saving, with warning |
| Import CSV | Only after the announcement was saved |
| Direct mail | Requires specific permission; email channel only; requires `[[_..._]]` variables in content |
| Audience count | The number shown may vary at the time of submission, depending on additions/changes/exclusions in the employee base |
| follow-up ("Edit and resubmit") | The audience is not editable: it only goes to those who did not view the original announcement |
What tends to confuse
- Selection is by channel. Choosing recipients in the email does not fill WhatsApp; When a channel is empty, the "Use recipients from…" shortcut appears to copy the list from another channel.
- Filter is dynamic, group is fixed. The filter is recalculated upon sending (whoever enters the criteria by then receives it); group and CSV are fixed lists of people.
- Tags are not their own selection source — to segment by tag, use the manual filter with the tag column.
- Local filters are only valid for the current session; To reuse in other submissions, save (becomes Account Filters).
- Mail Merge ≠ Common CSV Import: Import creates a group of recipients; The mail merge additionally fills the content variables `[[_..._]]` with the values from the file.
- The total number of selected does not add up twice to those already covered by a filter.
- There is no "excluding an audience" from the selection (confirmed in the code): the origins only add up. To remove a group of people from the submission, use the manual filter with negative conditions ("Different from") — e.g.: "Group Different from Brazil" — or deselect the group/people from the selection. It's the doubt behind calls like "I included mailing X and excluded Y on the same schedule".
