Announcement editor

The Create area is the editor where you create a multichannel communication from scratch or from a template, customize the content by channel (Email, WhatsApp, Microsoft Teams), choose the recipients and configure sending — immediate, scheduled, with follow-up and, if your team requires it, with approval.

Concepts and terms

Term (as it appears on screen)What does it mean

Template / favoriteReusable announcement template. The template menu features My Templates, Default Templates, Latest Announcements and My Favorites. You save yours using the star icon (Save as favorite).
VariablesPersonalization with employee data in `{{_Nome da variável_}}` format — the text adapts to each recipient.
Direct mailCustomization from a CSV file, in `[[_Nome da coluna_]]` format. Available on the email channel for those who have this permission.
SenderThe name and email address that will appear in the recipient's inbox.

What can you do

  • Create a blank announcement or from a ready-made template
  • Assemble content by dragging components and containers to the canvas, with undo/redo and zoom
  • Edit text with full formatting (font, size, color, lists, links, emoji, alignment)
  • Insert images from the Library and edit them (cropping, adjustments, filters) without leaving the editor
  • Include survey (multiple choice, checkbox, open response, rating, scale), reactions with comments and link buttons
  • Activate more than one channel in the same announcement — each channel with its own content
  • Customize with employee variables or direct mail via CSV
  • Save the announcement as a template to reuse (star Save as favorite)
  • Preview by channel and send a test preview via email
  • Choose recipients by person, group, filter or CSV import (by channel)
  • Send on time, schedule, schedule a follow-up and attach files (email)
  • Track auto-save and restore previous versions via version history

Components of the announcement

What can you drag from the component bar to the body of the email:

In addition to the components, the bar offers Containers (structures of 1 to 5 columns to organize the components side by side) and ready-made Sections (assembled layout blocks, in the Opening, Content and Closing groups).

Step by step

Create an announcement from scratch

  1. 1.In the side menu, click Create. The editor opens and a draft is automatically created — everything you do is saved by itself (Saving… / Saved indicator at the top).
  2. 2.Use the component bar (on the right) to drag Text, Image, Button, etc. to the canvas. Empty areas show "Drag a container or component...".
  3. 3.For columnar layouts, hover over Containers and drag the desired format (1 column to 5 columns).
  4. 4.Click on a component to edit it — the bar just below the top shows the options for that component. ESC moves up the selection (component → container → nothing).
  5. 5.The floating menu next to the selected block allows you to move up/down, duplicate, delete and open the settings (columns, spacing, background colors).

Start from a template

  1. 1.On the component bar, click Templates.
  2. 2.Choose the channel tab and browse through My Templates, Default Templates, Latest Announcements or My Favorites (there is search and pagination).
  3. 3.When applying, if you already had content, the editor asks: "Applying this template will replace the current content of the announcement. Continue?".

It is also possible to insert ready-made Sections (Sections button): Opening (header, hero), Content (highlights, statistics, testimonials, logos, gallery, editorials) and Closing (CTA, footer) layout blocks.

Save as template (favorite)

  1. 1.Click the star icon at the top (requires create templates permission).
  2. 2.Give a Template name and save. If you started from a template, you can Save (update the existing one) or Save as new.

Work with more than one channel

  1. 1.The column of icons on the left shows the channels available in your account (Email, WhatsApp, Microsoft Teams and, when enabled, inBox). Click an icon to switch — each channel's content is independent.
  2. 2.In the email, you can turn on/off Header and Footer in the property bar; on WhatsApp and Teams they do not apply.

WhatsApp: message comes from a Meta approved template — select it from the dropdown at the top (with search and "See all templates"). Then fill in each Variable of the template with one of these types: Text (free, up to 1024 characters), Link, Variable (employee data) or Communiqué — which links a complete communiqué to the message, with the options Use E-mail (linked), Select template or create new content. If the template has a header image, select it from the Library. The balloon preview appears alongside. Creating new WhatsApp templates is done in Settings → WhatsApp (not in the editor).

Microsoft Teams: choose one of 8 fixed card templates (combinations of image, text and "new announcement" button; those marked limited have restricted text formatting, but allow read tracking). Fill in the card: image (recommended 640×360 pixels, up to 1 MB — above that, the editor warns that it will be compressed), text and the button (text of up to 60 characters) pointing to the announcement linked to the email, a template or new content. The Teams Subject is optional and is in the sending settings.

Customize with variables

  1. 1.Select a text and click on the Variables button in the formatting bar (or, in the email subject, on Add variable).
  2. 2.Choose the variable — it enters the text in the format `{{_..._}}` and is replaced by the data for each recipient when sending.
  3. 3.For Mail Merge, use the appropriate button in the text bar and enter the Column Name of your CSV — the marker is entered as `[[_..._]]`. When configuring sending via the email channel, choose Mail Direct and import the CSV, identifying the employee and mapping the columns to the variables used.
  4. 4.When clicking on Configure Send, the editor checks the variables and warns you about Incorrect Format or Unrecognized Variable, with the options Go back and correct or Continue anyway.

Insert and edit images

  1. 1.Drag the Image component and double-click it to open the Library (folders, search, JPEG/PNG/GIF/WebP upload up to 10 MB per file).
  2. 2.With the image in the block, the component menu offers edit image: cropping (Free, 1:1, 16:9, 4:3, 9:16), adjustments (brightness, contrast, saturation, blur) and 10 filters (Original, Vivid, Dramatic, Mono, Noir…).
  3. 3.Fill in the Title of the image/link — this is what identifies clicks on the measurement screens after sending.

Preview and send a preview (test)

  1. 1.Click Preview (eye icon at the top). The modal shows tabs per channel with the announcement rendered as the recipient will see it (WhatsApp on cell phone mockup).
  2. 2.In the email tab, use Forward Preview: choose the Sender and Users (platform users, with search) and click Send Preview. The test is only via email and does not change the status of the communication.

Configure sending

  1. 1.Click Configure sending (top right). The button only releases when the content is saved and the active channels are complete (WhatsApp with template and variables filled in; Teams with complete card).
  2. 2.Fill in the general fields:
  • Name of the announcement (mandatory — internal identification; this is where the name is given, not in the title at the top of the editor)
  • Sender and Subject (required with the active email channel; the subject accepts variables)
  • Tag (optional — search or create on the spot) and Campaign (optional — search or create, requires permission)
  1. 1.Under Send date, choose Immediate or Schedule (date and time). With approvers on the team, immediate sending is disabled and you must schedule at least 15 minutes in advance.
  2. 2.Boost (optional, requires permission): flip the switch and schedule — resends the message to anyone who didn't open the original. follow-up must be after the sending date.
  3. 3.Activate/deactivate channel cards (you must keep at least one active; an active channel without content blocks sending). In each channel, click Recipients → Select to choose who receives (people, groups, filters or CSV — the selection is per channel, with the shortcut "Use recipients from..." to copy from another channel).   4. 4.In the email, you can Attach file (specific permission; progress bar on total 5 MB).
  5. 5.Save saves everything as pending configuration; Review opens the Summary (checkout) with announcement, sender, submission, approver, channels, audience and segmentation.
  6. 6.Confirm with Submit, Schedule or Request Approval (the label changes depending on the case). When sending immediately, a 5-second countdown allows Undo before firing. You are taken to the announcement details screen.

Approval flow (when the team has approvers)

  • The Approvers block appears in the sending settings with your team's emails (defined in Settings → Access management → Teams; not chosen in the editor). You can write a Message to the approver.
  • When Requesting approval, each approver receives an email with a link to a page where they see the communication by channel, audience and segmentation, and decide to Approve or Refuse (refusal requires a reason, up to 250 characters).
  • Approved → the announcement is scheduled for the scheduled date. Rejected → is rejected and can be edited and resubmitted. The approver link is valid until the scheduled sending date/time; After that the decision is no longer possible.
  • While waiting, the details screen allows you to Resend email to the approver and Cancel appointment.

Version history

  1. 1.Click on the history icon on the top left. Each saved change becomes a version with automatic description.
  2. 2.You can rename the description, favorite versions and restore any of them to the canvas.

What can be analyzed/adjusted

  • Titles of links, images and videos: the Title field for these components identifies each click on the measurement screens after sending — fill in clear names (e.g.: `banner_promocao`).
  • Email settings (menu Options → Settings): background color, foreground color and width (400 to 800 px).
  • Zoom of the canvas: 50% to 200%.
  • Tracking in Teams: templates with images track viewing by image; "Text (limited)" tracks per pixel; Plain "text" has no read tracking.

What tends to confuse

  • The name of the announcement is not edited in the top title — it is defined in the Name of announcement field, within Configure sending.
  • A draft is created as soon as you open Create, even without touching anything — it will appear in the Announcements list as a draft.
  • Recipients are chosen by channel. Selecting people in the email does not include them in WhatsApp; Use the "Use recipients from…" shortcut to copy the list between channels.
  • Approval is not optional: if your team has registered approvers, all submissions go through them, with mandatory scheduling (minimum 15 minutes).
  • The test preview is only available via email and only for platform users — not for base employees.
  • Two customization syntaxes: `{{_..._}}` are system variables (employee data); `[[_..._]]` are mail merge columns (CSV). They don't mix.
  • Cancel scheduling returns the communication to the pending configuration state — the sending settings are saved, but you need to go through Configure sending again to trigger.
  • WhatsApp templates are not created in the editor — Meta creation and approval takes place in Settings → WhatsApp; the editor only uses already approved templates.
  • inBox may appear in the interface, but the channels in active use on the platform are Email, Teams and WhatsApp.
