Operation
Inbox
The Inbox is the notification feed for your tasks: comments, mentions, assignments, forms received and step movements arrive here in real time ("Follow your task activities"). It is part of the Tasks module — not an announcement response box.
Concepts and terms
| Term (as it appears on screen) | What does it mean |
|---|---|
| Notification | A warning generated by an event in a task or pipe that involves you. |
| Types | Comment ("Commented on the task"), Mention ("Mentioned you in a comment"), Assignment ("Assigned the task to you"), Form ("Submitted a audience form"), Step change ("Moved the task"), Deleted step, and Removed access (to a pipe). |
| Groups by date | The list is organized into Today, Yesterday, Last 7 days, Last 30 days and Oldest. |
| Notification channels | For each pipe, you choose to receive it via email and/or inbox (default: both on). The preference is in the pipe settings, under Tasks. |
| Unread counter | The badge in the Inbox item in the side menu (shows "9+" above 9). |
What can you do
- Monitor notifications in real time — new ones appear at the top of the list, the menu counter updates and a floating notice appears (clickable, disappears in 6 seconds; does not appear if you are already in the Inbox)
- Click on the notification to open the corresponding task (commenting and responding happens there, in the Tasks area)
- Mark as read (✓ icon on hover) or Mark all as read
- Delete a notification or Delete all (with confirmation)
- Search by task title, comment text or name of who performed the action
- Filter by Type, Status (All / Unread / Read), Period (or From–To range), Pipe and Responsible
- Choose, pipe by pipe, whether you want to be notified by email, in your inbox, both or neither
Step by step
Track and open notifications
- 1.In the side menu, click on Inbox. Notifications appear grouped by date; unread ones are in bold and read ones are dimmed.
- 2.Each row shows the task (with the current step color), who did the action and what ("Moved the task" displays the source → destination step), and how long ago.
- 3.Click on the line: the notification is marked as read and you go straight to the task in the pipe.
- 4.Use Load More at the end of each group (20 at a time) and Refresh to recharge.
Filter and search
- 1.Click Filters: combine Type (multi-selection), Status, predefined Period or range From–To, Pipe and Responsible. Clear resets everything.
- 2.The search ("Search notifications...") covers task title, comment content and name of the action author.
Clean the box
- Mark all as read resets the counter without deleting anything.
- Delete all (or trash on line hover) removes notifications — asks for confirmation; deleting does not affect the tasks themselves.
Choose how to be notified
- 1.In the Tasks area, open the pipe settings and adjust the notification preferences: Email and/or Inbox, per pipe.
- 2.The default is to receive on both channels. Whoever did the action is never notified of the action itself.
Limits and rules
| Rule | Value |
|---|---|
| Availability | Requires the Demands Portal enabled on the account and the "Inbox" task role on the profile |
| Scope | Each user only sees their own notifications |
| Generation | Only for those who can see the pipe; author of the action does not self-notify; in comments, mention takes precedence over responsible |
| Pagination | 20 per group, "Load more" |
| Search | 1 to 255 characters |
| Retention | No automatic expiration — notifications remain until deleted |
| "Step deleted" | Only notifies those who had tasks affected by the deletion |
What tends to confuse
- It is not the response channel for communications. Reactions, comments and survey responses from employees are in the details of each announcement; Inbox is exclusively about Tasks activity.
- You can't respond from here — clicking takes you to the task, where the comments are.
- There is no "mark as unread", archive or snooze — the states are read/unread and deleted.
- The floating notice does not appear when you are already in the Inbox (the list updates itself at the top).
- Actions done on another device (read/delete) do not sync live — use Refresh.
- The inBox channel of the announcement editor (announcement notification component) is something else — it has no relation to this screen.
