Administration
Settings (General, Profile, Editor, Contributor Fields and Tags)
The Settings area brings together the workspace and user preferences: identity (logo and name), personal profile, announcement editor defaults (palette, social networks, automatic footer), employee registration fields and the central management of Tags. (Channels and Access Management have their own docs.)
Concepts and terms
| Term (as it appears on screen) | What does it mean |
|---|---|
| Workspace | Hub section with cards: General, Profile, User and access management, Employee fields, Editor, Tags. |
| Channels | Second section of the hub (Email, Teams, WhatsApp) — see canal-email.md, canal-whatsapp.md and canal-teams.md. |
| Color palette | The 8 color slots that appear first in the editor selectors — personal (each user has their own). |
| Footer | Rich text automatically inserted into the footer of all email communications. |
| Employee fields | The people registration columns: platform standard fields (activatable/deactivatable) and custom fields created by the company. |
| Tag | Label for organizing communications and links, with name and color. |
What can you do
- General: change the workspace logo (PNG/JPG/WebP/SVG up to 2 MB, recommended 300×300 — saves instantly) and the Workspace Name
- Profile: profile photo (PNG/JPG/WebP up to 2 MB), name, and Change password (current + new password). The email is not editable. Language and theme (light/dark) are in the account menu in the sidebar, not here
- Editor (3 tabs): Color palette (up to 8 personal colors), Social networks (activate/deactivate company networks and define the address of each one) and Footer (rich text editor with account fonts)
- Employee fields (full administrator only): reorder fields by dragging, activate/deactivate standard fields, and create custom fields (Text, Integer, Decimal, Date, Date and time, Boolean) with "Filterable field" option
- Tags: create ("New tag") with real-time preview and palette or custom color, rename, change color and delete (the dialog shows in how many announcements/links the tag is in use)
Step by step
Change the workspace logo and name
- 1.Settings → General. Click on the logo circle and choose the image (saved immediately).
- 2.Edit the Workspace Name and click Save.
Update profile and password
- 1.Settings → Profile: change photo and name (Save).
- 2.Change password: enter Current Password, New Password and Confirm Password → Change password. The exchange applies to all environments where the same email has an account. In organizations with corporate login (SSO) without a local password, switching is disabled.
- 3.For language and theme, use your account menu in the sidebar (Change language / Appearance).
Editor defaults
- 1.Settings → Editor:
- Color Palette: Click `+` slots to add (up to 8) — these colors appear first in the editor pickers and tag creator. The palette is yours (per user).
- Social networks: activate the company's networks and fill in the address (e.g.: `instagram.com/sua-empresa`) — these are what the Social Networks component of the editor displays. The set of networks is fixed (activate/deactivate; no new network is added).
- Footer: write the text that automatically appears in the footer of any email communication, with full formatting (including the account's custom fonts).
Manage employee fields (admin)
- 1.Settings → Employee fields (only visible to full administrators).
- 2.Drag the rows to reorder (the order reflects on the contributor form).
- 3.Standard fields have a switch (on/off; cannot be removed). Custom fields have a trash bin (deleting deletes the data already filled in — confirmation notifies you).
- 4.New custom field: name, Filterable field (allows use in filters/segmentations), Data type (immutable once created) and, for Text, the Number of characters (up to 250).
Manage tags
- 1.Settings → Tags: New tag → enter the name, choose the color (from the palette or custom — the system offers to save the new color in the palette) and confirm.
- 2.Pencil renames/changes color; trash delete — dialog shows actual usage ("linked to N announcements / N links") before confirming.
- 3.Tags can also be created in context: in the Announcements list and when sending (Tag field).
Limits and rules
| Rule | Value |
|---|---|
| Logo / profile photo | Up to 2MB; 64×64 to 4096×4096 px; logo accepts SVG, photo no |
| Color palette | 8 slots, per user |
| Social networks | Fixed set per account (Facebook, X/Twitter, Instagram, LinkedIn, YouTube, TikTok, Glassdoor) — activate/deactivate and edit the address |
| Custom fields | Name up to 255; Text up to 250 characters; number of slots per type is limited (e.g.: 5 for Integer, 5 for Decimal) — the system notifies you when the type runs out |
| Data type | Cannot be changed after creating the field |
| Delete custom field | Lost the filled data (explicit confirmation) |
| Tags | Unique name on the account; delete removes the tag from listings (announcements are not deleted) |
| Password change | Requires local password enabled in the organization; the new password cannot be the same as the current one |
| Access | Settings requires the Settings permission on the profile; Employee fields requires full administrator |
What tends to confuse
- The color palette is personal, not the workspace's — each user creates their own (the "default" label refers to "appears first in the editor").
- Language and theme are not in Settings — they are in the account menu (corner of the sidebar).
- The user's email is not editable in the Profile.
- Deactivating a standard field hides it from registration/import, but it can be reactivated; deleting a custom field is final and deletes the data.
- Deleting a tag here applies to the entire account (same rule as for the Announcements list).
- If a change appears to "not save" (tag with repeated name, for example), check to see if it appears in the list after updating — some errors do not display a warning today (registered as pending correction).
