Create and send
Announcements
The Communications area is where you track everything that was created and sent: the list with status, views and tags for each communication, and the details screen with complete measurement (who viewed, clicks, reactions, comments, survey responses) and post-send actions, such as follow-up for those who did not read.
Concepts and terms
| Term (as it appears on screen) | What does it mean |
|---|---|
| Status | Status of the announcement. The list filter groups into: General (all), Sent, Ready to send (scheduled), Pending, Delayed, Draft and Approval. |
| Views | How many people viewed it, with the percentage of those who received it. |
| Recipients | The audience of the communication (people, groups and filters used in sending). |
| Tags | Organization labels — can be created, renamed, recolored and removed directly from the list. |
| follow-up | Re-sending the message only to those who did not view the original. |
| Communication performance | Percentage of views out of the total number of selected recipients. |
| Channel performance | Percentage of views on successful uploads on that channel. |
| Receipt confirmation | sends with delivery confirmation by the recipient (depends on the provider — see "What's often confusing"). |
| Total unique clicks | Sum of unique clicks (per person) on all links in the announcement. |
| Channel | Filter at the top of the details (All, Email, WhatsApp, Teams…) that refilters metrics, graphs and lists. |
What can you do
- Search communications by title, description or tag, and filter by status (with counters)
- Choose which columns to see in the table and preview the announcement for each channel without opening the details
- Manage tags directly in the list (add, create, rename, change color, delete)
- Edit drafts/pending and delete communications (individually or in batch)
- In detail: monitor metrics by channel, the viewing graph (24h, 48h, best times) and the measurement tabs — Views, By Audience, Links, Reactions, Comments, Surveys, Attachments
- Export CSVs (views, failures, undelivered, audience, comments, surveys) and download the announcement in image or PDF
- Send follow-up to those who haven't read it (identical resend or edited version), schedule or cancel the follow-up
- Duplicate an announcement to reuse the settings, cancel appointment and resend the approval email
- Fix errors: "Announcement not sent" banner with resend, and Force resend of unsent ones
Step by step
Find an announcement
- 1.In the side menu, click on Announcements. The list opens filtered on Sent.
- 2.Use the Search field (search by title, description or tag name) and the status filter (with the count of announcements in each one).
- 3.Columns are configurable by the grid icon: Title/Date, View (preview by channel), Views, Recipients, Tags, Actions.
- 4.The date line changes depending on the case: "Scheduled for…", "Sent on…", "Created on…" or "Attempted to send on…". Notices such as Not sent, Submission suspended and Boost created appear next to the title.
- 5.Click on the line to open the details (communications sent, scheduled or being approved). Drafts and pending have the Edit button, which opens the editor.
Manage tags directly in the list
- 1.In the Tags column, click on the tags icon to open the panel: search, check/uncheck and click Save. To create, enter the name and use Create.
- 2.In the menu for each tag (⋯): Rename, Change color (10 colors + Custom color) and Delete — attention: deleting here deletes the tag from the entire account (the dialog shows where it is used). To remove the tag from just that announcement, use the "×" in the badge.
Delete announcements
- 1.Individual: trash icon in the line → confirm with "Delete announcement".
- 2.In batch: mark the lines and click Delete (N) → "This action cannot be undone".
- 3.Deleting cancels scheduled sends and boosts and removes the announcement from reports. There is no restriction by status — you can even delete a communication that has already been sent (hence the confirmation).
Read the numbers (General details tab)
- 1.Open the announcement and, if it has more than one channel, use the channel filter at the top (All, Email, …) — it refilters cards, charts and tabs.
- 2.First line of cards: Communication performance (% of views of those selected), Channel performance (% of successful sends), View per send (quantity), Total unique clicks and Reactions (positive/neutral/negative bar).
- 3.Second line: Total recipients, Successful sends, Receipt confirmation (quantity and %), Send failure (sends refused by the recipient's server — with CSV download of errors) and Not sent (with Download CSV of unsent emails and Force resend).
- 4.The Viewing graph shows the viewing curve in 24 hours or 48 hours after sending, and Best times (the 12 times with the most views).
- 5.View announcement opens the channel preview, with Download image and Download PDF.
See who viewed (Views tab)
- 1.The Views tab lists each recipient with Channel, Name, Email, Phone and Status — the status shows the most advanced stage: "Viewed on…", "Received on…" or "Sent on…".
- 2.Use Search to find a person and Export to download the CSV. Reports with more than 5 thousand lines are sent to your email; above 50 thousand, talk to support.
- 3.Before sending (draft, scheduled, in approval), the tab shows the expected recipients, all as awaiting sending.
Analyze by audiences (By Audiences tab)
- 1.Choose the grouping field (Department, Branch, Directorate, Gender, etc. — includes fields from your base).
- 2.View each segment with recipients, Views and View rate, in Cards or Bars mode, with search and Export.
Clicks, reactions, comments and searches
- Links: one card per link with the URL, the Click Rate and the total number of clicks (unique per person). You can label links with tags (Add tag) to organize them in measurement.
- Reactions: reactions by segment (positive/neutral/negative), with the same field selector as By Públicos. Small audiences appear anonymized.
- Comments: list with date and text, filters All / Positive / Neutral / Negative, search and Export. If comments have been disabled on the announcement, the tab will notify you.
- Surveys: browse question by question ("Question
- Attachments: lists attached files, with individual download.
Forward to those who didn't read it (follow-up)
- 1.In the details, open the Boost dropdown (requires the boost permission):
- Resend this announcement: resends the same message, without editing anything, to everyone who hasn't read it — choose Immediate (with a 5-s countdown and Undo) or Schedule.
- Edit and resend: create a new announcement based on this one, which you edit in the editor before sending — the audience is fixed: only those who did not view the original.
- 1.With a scheduled follow-up, the button becomes Scheduled follow-up and offers Cancel follow-up sending.
Fix sending errors
- 1.If the status is Not sent, a red banner explains the technical problem and offers Resend communication — the communication returns to the queue (follow the update button). If that doesn't work, contact support.
- 2.For partial failures, the Not sent card has Force resend (reprocesses only the failures of the selected channel — it is not a new message for those who have already received it) and the CSV download for diagnosis.
Other actions (Actions dropdown)
| Action | When appears | What does it do |
|---|---|---|
| Duplicate announcement | Always (requires edit permission) | Creates a new "Copy of..." draft with content, channels, tags, campaign and recipients from the original (without date, sender and follow-up) and opens the editor. Attention: there is no confirmation — clicking already creates the copy. |
| Cancel appointment | Scheduled or under approval | Cancels the send; the communication returns to Pending to reconfigure the sending. |
| Resend email | Under approval | Resends the email with the approval link to approvers (generates new links). |
| Edit | Pending, Draft or Rejected | Open the announcement in the editor. |
The title of the announcement can be edited inline in the details header (pencil icon).
What can be analyzed/adjusted
Metric definitions (how they are actually calculated):
| Metric | Definition confirmed |
|---|---|
| Total recipients | Channel sending records; in the Everyone filter, unique people (those who received it on 2 channels count 1) |
| Successful sends | Submissions accepted by provider |
| Confirmation of receipt | sends with confirmed delivery event; % of recipients |
| View | Opening (email) or channel viewing event; % makes up performance cards |
| Announcement performance | views ÷ total recipients |
| Channel performance | views ÷ successful submissions |
| Single clicks | Distinct person×link pairs, summed across all links |
| Click rate (Links tab) | unique link clicks ÷ channel views |
| Send failure | sends refused by the recipient's server |
| Not sent | Contacts that did not receive for some reason (eligible for Force Resend) |
Limits and rules
| Rule | Value |
|---|---|
| Exporting views | Up to 5 thousand lines: direct download; 5–50 thousand: sent by email; over 50 thousand: via support |
| Survey exports | Over 500 responses: sent by email |
| Reactions in small audiences | Anonymized below the minimum number of people |
| Delete | No status restrictions; cancels appointments and reinforcements; removes from reports; without undoing |
| Duplicate | No status restrictions; channels deactivated in the account do not appear in the copy |
| Edit | Just Pending, Draft or Rejected |
| Scope of vision | Depending on the profile: just my announcements, those from my team or all |
| View metrics | In addition to seeing the announcement, the profile needs measurement permission — without it, the views columns show `--` |
| follow-up | Requires specific permission |
What tends to confuse
- The screen does not update itself. A "Sending Announcement" announcement does not change status in real time — use the refresh button (circular arrow icon) in the list or details.
- "Confirmation of receipt" at 0% does not mean that no one received it: this data depends on the email provider reporting delivery; in some sender configurations it is not available.
- In the "All" filter, the numbers are per person; per channel, they are per sending. The sum of the channels can be greater than the total in "All" (the same person in 2 channels counts 1 time in All).
- Deleting a tag through the list menu deletes the tag from the entire account — to remove it only from the announcement, use the "×" in the badge.
- "Force resend" and "follow-up" are different things: the first reprocesses technical failures (does not resend to those who have already received it); the second resends the message to those who received it but did not see it.
- Duplicating does not ask for confirmation — clicking already creates the copy and opens the editor.
- "Cancel schedule" returns the communication to Pending (the menu text mentions draft, but it returns as Pending, with the sending settings preserved).
- The "Delayed" status includes pending communications whose sending date has passed without being triggered.
